Paradigm Management Solutions Inc. continues to be committed to respecting the privacy of individuals during the normal course of its business affairs. Collection, use and disclosure of personal information by Paradigm Management Solutions Inc. and its affiliates is governed by PIPEDA and any applicable provincial legislation. Changes or evolution of this Policy may arise from time to time and we welcome you to check back for any updates.
We would like to identify the following to our candidate community:
By submitting your personal information, as a result of either a solicited or unsolicited inquiry, to Paradigm Management Solutions Inc. you signify that you have agreed to the terms and conditions of this policy.
What is personal information? Paradigm Management Solutions Inc. is responsible for personal information under its control. Personal information is broadly defined to include name, personal telephone and fax numbers and email addresses, Social Insurance Number, income, credit records, loan records, personal history, personal connections, social status, employee files, pertinent health information, evaluations and comments, disciplinary actions, photo identification, etc.
PIPEDA (Personal Information Protection and Electronic Documents Act) applies to personal information maintained in either paper or electronic format.
Why do we collect personal information? We collect personal information from you, a member of our candidate community, in order to provide the best service during your job search. Although this is not all encompassing, we would like to specifically note that in addition to your contact details, and cover letter and curriculum vita, your file may include, but is not limited to such items as:
· Our telephone, videoconference and in-person interview notes · The professional challenges that are sought after by you · Other employment preferences · Security clearances · Salary · Proof of Identification · Information obtained through professional, performance, character references checks · Reference letters, reports, or those references that have been attained verbally · Background checks · Security Clearance · Education records · Testing results · Any other personal information you might voluntarily provide to us · Peer and Supervisor contact information · Summary of relevant interactions between you and Paradigm Management Solutions Inc. · Referrals · Summary information of relevant interactions you may have had with our clientele
As a member of the Paradigm Interim Contributor Team: We also require your personal information, to provide payroll services to you, for example, photo identification, proof of eligibility to work within Canada (Social Insurance Number), Canadian Revenue Agency completed forms – tax deductions, vacation allowances, and banking information. We and our clientele may also require emergency contact information for emergency/security purposes.
We use this information: · To better understand your education, and business qualifications · To develop, and personalize our business relationship with you · To better understand your individual preferences, and requirements · To find the best employment offerings/opportunities for you · To fulfill our clients’ requests for information about you · To inform you of any current and/or future service offerings that may become available · To assess and develop the Corporation’s business offerings, and ongoing operations · To fulfill the Corporation’s obligations under applicable Laws · To provide appropriate training or transition services · To provide payroll and other Human Resources initiatives to you as a member of the Paradigm Interim Contributor Team
Paradigm Management Solutions Inc. does not collect more personal information than is necessary from you, our candidate; unless of course a client specifically requests additional information, and providing that this additional information is consented to by you, our candidate.
When do we disclose your personal information and to whom? As a matter of course, your personal information is not traded, sold, or leased by Paradigm Management Solutions Inc. to any outside organizations. Your personal information could of course be transferred during any legitimate, significant, and reasonable change in the corporate structure of Paradigm Management Solutions Inc. Your personal information is only disclosed for Paradigm Management Solutions Inc.’s legitimate business purposes, and as required to meet legal and regulatory requirements. A simple example being when/if Paradigm Management Solutions Inc. is legally obligated to provide information by court order.
In the normal course of Paradigm Management Solutions Inc.’s business affairs, we disclose your personal information to our client community when we feel that there is a potential job placement for you, our candidate. During the course of your job search, you are relying on us to share such information with our clientele. We only provide your information to our client/employer when required and/or requested that would enable our clientele to make an informed decision regarding your specific candidacy for the job.
We may share information with our trusted affiliates, partners, contractors, suppliers, and other organizations, (collectively noted herein as “representatives)”) that are used to provide the best possible offerings in relation to our services. Rest assured that we only disclose limited information if and when we were to share your information, and naturally only when the purposes performed by the representatives require such information. Naturally we inform these representatives through various methods to maintain an appropriate high level of privacy and confidentiality in accordance with the applicable Provincial and Federal Laws within Canada. However we do not warrant any of their actions, as we do not have control over their operations.
An example of the companies that we may share your limited personal information with include but are not limited to:
· Testing service provider · Resume writing service provider · Courier service provider · A service that provides statistical information to us in an aggregated format to determine such things as market trends, salary trends, Internet website usage statistics, etc. · A service that provides qualitative, quantitative and objective information regarding our services and operations · A service that provides us with background checks, including but not necessarily limited to resume & data verification, education verification, criminal record checks, credit checks, security clearances, etc. · A service that coordinates and/or verifies information obtained during the placement process — including various client interviews & dialogues; professional, performance, character references checks together with reference letters and reports · Payroll and benefit processing service providers for temporary staff engagements
Have you consented? Due to the nature of our business, your consent is already implied by the circumstances of our business relationship with you, our candidate. Having stated this, we would like to identify specifically that by having voluntarily sent your information to us, having read this privacy statement, and any subsequent changes/updates made thereto; and by accessing our website, and by providing us your personal information; and by using our services, we imply your consent to the collection, use, and disclosure of your personal information.
Wherever possible and when necessary, we obtain your express consent for particular uses and disclosures. For example, we obtain your express, written consent before releasing your information to a third party who provides background verifications on potential candidates/employees. We would also obtain your express, written consent before releasing your Social Insurance Number to our clients when they request us to provide them with this information in order to activate you on their payroll system, and our clientele may also request that we provide your Photo ID to them for these purposes and/or for other security purposes. Upon occasion, our clientele may request criminal/security/credit checks. Our clientele may also require your personal information for contact, emergency and/or reasons.
To give you a simple example of implied consent, if you, our candidate, list the names, telephone numbers, electronic mail addresses, etc., of your previous employers on your curriculum vita, cover letter, or such, for reference checking purposes, we would not typically seek express consent before conducting such. Please note that as a professional courtesy to your previous employers, you may want to contact the appropriate individuals to inform them that you are using them as a reference during your job search.
Paradigm Management Solutions Inc. takes all reasonable security measures to protect the confidentiality and integrity of sensitive data collected and stored.
Your personal information is only accessed on a need to know basis; for example only by Paradigm Management Solutions Inc.’s employees, consultants, contractors, and representatives who need the information to perform a specific function on behalf of Paradigm Management Solutions Inc. are granted access to personally identifying information.
We have certain secure databases where electronic data is stored. Access to this information is on a need to know basis of course, and access to these are naturally protected by appropriate firewalls, and passwords, etc. Please note that given the nature of any electronic information exchange mediums such as communications using electronic mail through the Internet, the nature of this medium is such that not all communications may in fact be totally secure. Due to this you should be aware of the inherent risks of interception over which we have no control. We would like to take this opportunity to inform and suggest that before you use this type of information exchange medium, you become reasonably knowledgeable of potential security breaches, for example who, what, where, when, why etc. other Internet users could intercept your personal information — your internet service provider would in all likelihood be able to provide you with this information. We are unable to warrant/guarantee that your personal information is unattainable by illegal means, however rest assured that we do take all reasonable security measures to protect personal information that is provided by you, as a member of our candidate community.
In relation to paper files that contain personal identifying information that we have within our business operations as provided by you, our candidate, we use reasonable methods to ensure its security, for example, locked filing cabinets, desks, briefcases, and limited access to business premises.
How long is your information retained? Paradigm Management Solutions Inc. retains personally identifiable information as long as is required by the applicable Federal and Provincial Laws of Canada.
How can you access your personal information and check its accuracy? Paradigm Management Solutions Inc. relies on the information provided by you, as well as third parties such as those providing references, educational institutions or those conducting background checks. You may at any time make a written request for access to your personal information. Upon payment of a small administrative fee, if necessary, we will provide you with a copy of the relevant personal information we have on file.
Paradigm Management Solutions Inc. reserves the right to delay or refuse access during extenuating circumstances, and/or as advised by legal counsel. Simple examples include, but are not limited to: Proof of your identity during your request was refused by you or was deemed unacceptable; if doing so would reasonably be expected to threaten the life or security of another individual; the information is protected by legal privilege; granting access would likely reveal personal information regarding another individual; granting access would reveal confidential commercial information.
Paradigm Management Solutions Inc. strives to maintain accurate records of your personal information, however, this cannot be achieved without your help. In this ongoing effort, we ask you to provide us with your most up to date information. Simply advise us of any personal information you have given us in the past that is incomplete, inaccurate or no longer relevant. It would be our honour to make any appropriate modifications.
